Generally, additional pay and corrections should be entered into Workday as a One-Time Payment (OTP) that will be processed on the employee’s next regular paycheck. When there are contractual obligations or substantial errors that present a potential hardship to the employee, an On-Demand payment may be used.

Effective April 15, 2024, on-demand payment requests submitted by 10:00 a.m. on Tuesdays and by 10:00 a.m. on Thursdays will be deposited to active bank accounts within two business days. If an employee does not have an active bank account, a check will be mailed to the employee’s home address as provided in Workday within two business days.

Types of payments that may not be provided via the On-Demand payment options:

  • Incentive Pay
    • Discretionary bonuses
    • Non-discretionary bonuses
  • Corrections that represent less than 5% of the employee’s gross pay
  • Additional allowances
  • Relocation reimbursements
  • Taxable reimbursement

Procedures

  • Use Request on Demand Payroll Check Request to submit the request.
  • All one-time payment and period activity pay requests must be entered and approved in Workday prior to submitting an on-demand check request.
  • All on-demand payments for anyone who has an active direct deposit will be processed via direct deposit.
  • It is important to note that anything processed on an on-demand basis can potentially be processed again on the following payroll. Review RPT5961 for any transactions that were previously processed on-demand. If pay results for a previously processed on-demand payment is identified on the report, notify payroll so that the results can be manually removed.
  • Use RPT4063 – WU – Printed Paycheck Listing to return a list of individuals expecting off-cycle pay checks.
  • One-Time Payments are not to be entered as verification for hours worked, salary, or academic pay.  Approved hours worked and compensation data will be reviewed to verify these payments.  A one-time payment for regular pay will cause double payment.
